Audiovisual Policies

Even if you have submitted a request before, please read our policies before submitting a request, as these policies may change.

Jax State Audiovisual can:

  • Provide audio and video equipment for pickup.
  • Provide instructions on how to setup, operate, and tear down audiovisual equipment
  • Provide suggestions for equipment based on your expectations for your event 

Unless your event requires a complex setup, you should expect to pick up and return your equipment at Self Hall 241.  Onsite setup and support requests will be decided on a case by case basis. 

Due to staffing issues, Jax State Audiovisual Services will no longer be able to:

  • Run Events. We will be able to provide any assistance you may need to get the equipment set up and get you familiar with how to operate it, but the responsibility of running the event will rest on the patron. Unless there are special circumstances, we will not be able to be present for the entirety of your event.
  • Provide Support for After-hours and Weekend Events. We will not be able to secure, deliver, or pick-up equipment after hours. You are responsible for securing the equipment, and if the event is outdoors that includes bringing the equipment inside to a safe location once the event is finished. Requestors will be held liable for any damaged or missing equipment as a result of failure to secure the equipment.
  • Provide Support Off-campus. While you may pick up the equipment from our office at Self Hall 241 for whatever off-campus event you may have, we will be unable to provide setup support for equipment off-campus. This includes the Canyon Center.

 

Jax State Audiovisual Services reserves the right to decline requests for outdoor events in cases of inclement weather. 

Jax State Audiovisual Services requires a Jax State faculty or staff member to be responsible for securing the equipment. We will not provide equipment for groups not affiliated with Jax State. Any requests submitted by a student must include the contact information for the faculty or staff member responsible for the event. If this is an event held by a student organization, please include your organization advisor’s contact information.

We strongly suggest that you submit all AV requests as soon as possible so that we can ensure that we have equipment available for your request. All requests must be submitted at least 48 hours in advance, not counting hours over the weekend (Friday 4:30 PM - Monday 8:00 AM). All equipment is loaned out and all assistance is provided on a first-come-first-serve basis, and any requests submitted late may be declined.

If you need to pick up equipment, please do so within thirty minutes of the agreed-upon time. For instance, if you agree to pick up the equipment at our office at 8:15 AM, please pick it up before 8:45 AM. This way we can ensure that we are present at the office to assist you when you arrive. If you show up outside of this allotted time, we cannot guarantee we will be at our office. If you need to reschedule the pickup, let us know as soon as possible before your original pickup time. We reserve the right to decline requests if the equipment is not picked up in a timely manner.
