Hiring a Graduate Assistant

Requests for Graduate Assistants

Individual academic and academic support units may request a Graduate Assistant by submitting the Graduate Assistant Request Form to the Office of Graduate Studies by the given deadline. If the position is approved by the Senior Director of Graduate Studies, the individual unit reviews applications, interviews applicants, and makes the hiring recommendation to the Office of Graduate Studies.

Relevant student information from each position is sent to the Scholarship Office by Graduate Studies. 

The university budget for the Graduate Assistantship Program is housed in the Office of Graduate Studies, and this office oversees and approves all processes related to the Graduate Assistantship Program.

Employing a Graduate Assistant

  1. The Office of Graduate Studies will send an email notice to units to submit Graduate Assistant Request Forms for the upcoming semester(s).
  2. Units will submit their Graduate Assistant Request Forms by the deadline established by the Office of Graduate Studies.
  3. All Graduate Assistant positions will require the approval of the Senior Director of Graduate Studies.
  4. Graduate Assistant positions approved by the Senior Director of Graduate Studies will be posted by the Office of Graduate Studies on the JSU Office of Human Resources website through JSU’s Talent Management System (PageUp).
  5. Units will perform their in-house review and selection of applicants for hire.
  6. Units will notify the Office of Graduate Studies of their Graduate Assistant selections by the deadline established by the Office of Graduate Studies.
  7. The Office of Graduate Studies will generate the Graduate Assistantship Acknowledgement form for the prospective Graduate Assistant to sign.
  8. The Office of Graduate Studies will review the prospective Graduate Assistant’s class schedule upon pre-registration and verify that the student meets all eligibility requirements (outlined in the Eligibility section of this Guide).
  9. Once the prospective Graduate Assistant’s class schedule has been verified, the Graduate Assistantship Acknowledgement form will be submitted to the Office of Human Resources by the Office of Graduate Studies.
  10. Any changes made to a Graduate Assistant’s schedule at any time must be approved by the Office of Graduate Studies, or the student risks losing the assistantship.
  11. Units who do not adhere to deadlines and procedures will lose their Graduate Assistantship allotments.  Likewise, prospective Graduate Assistants and employed Graduate Assistants who do not adhere to deadlines, requirements, and procedures will lose their assistantships.

Graduate Assistantship Acknowledgment

The Office of Graduate Studies will generate a Graduate Assistantship Acknowledgment form for each student recommended for hire by the units and verified by the Office of Graduate Studies. 

The student is required to complete and sign the Graduate Assistantship Acknowledgment form, which is also signed by the Unit Supervisor and approved by the Senior Director of Graduate Studies. Once approved, the Graduate Assistantship Acknowledgment form will be submitted to the Office of Human Resources.

The unit in which the graduate assistantship position is housed is responsible for continued monitoring regarding eligibility of each graduate assistant within their unit.

Office of Human Resources

Once prospective Graduate Assistants have signed the Graduate Assistantship Acknowledgment form, they will report to the Office of Human Resources, Room 326A, Angle Hall. Prospective Graduate Assistants will need to present their valid driver’s license, social security card, and a voided check (for direct deposit purposes).  These documents must be provided to the Office of Human Resources prior to the date employment begins.  For questions concerning documentation needed, please contact the Office of Human Resources, 329 Angle Hall or 256-782-5007, or by using their online Question Form.
