Faculty End of Term Procedures for Blackboard Courses

At the end of each term, within approximately one week after each terms ends, the Blackboard system administrator will make all courses unavailable to students.  An email notice will be sent to faculty near the end of each term indicating the scheduled date of this change.

If there are students needing to complete work related to an Incomplete grade, the procedure below under Incomplete Grade should be followed after the system administrator has completed the process of making all courses unavailable.

Instructors should consider the procedures under Minimum Recommendations and Other Considerations in order to preserve Blackboard course data and content appropriately in accordance with University, School, and Departmental policies.  Faculty are responsible for having knowledge of these policies and are the best judge when determining what to preserve.  In some courses, you may wish to preserve data/content beyond policy requirements.  If you have questions regarding the steps for completing any of these tasks, please contact us at online@jsu.edu for assistance.  (Note:  Currently, Blackboard courses are kept on the Blackboard system for a minimum of 2 years past the end of the term.  However, this procedure is subject to change.)

  • Copy test feedback to a Word document (for viewing external to Bb)
  • Copy all forum posts to a Word document (for viewing external to Bb)
  • Download Group information (such as membership, etc.; for viewing external to Bb)
  • Copy content of Blogs, Wikis, and Journals to Word documents (for viewing external to Bb)
  • Download Collaborate recordings (for viewing external to Bb)
  • Copy announcements to a Word document (for viewing external to Bb)
  • Download files not stored in Content Collection (such as Voice Thread, etc.; for viewing external to Bb)
  • Copy Course Messages to a Word document (for viewing external to Bb)
  • Generate and download Course Reports (for viewing external to Bb)
  • Copy the instructions/descriptions of Assignments, Items, etc. to a Word document (for viewing external to Bb)
  • Copy URL's of external links, YouTube links/embed code, etc. (for viewing external to Bb)
  • Download Portfolios (package downloads; for viewing external to Bb)
  • Download files stored in My Content area (for viewing external to Bb)
  • Export Course package (only valid for re-import into Bb; no external viewing or practical re-use external to Bb)

Incomplete Grade

To allow for completion of an Incomplete grade:

  1. Select Users and Groups in the course Control Panel.
  2. Click Users.
  3. List all users by selecting Username and Not Blank from the Search options.
  4. Click the Go button.
  5. Click the context menu link beside a user’s name who should no longer have access. (Note: This step is for disabling course access for those who no longer need to complete work.)
  6. Select Change User’s Availability in Course. Note: DO NOT SELECT Remove Users from Course.
  7. Select No beside Available (this course only).
  8. Click the Submit button.
  9. Repeat steps 5 through 8 for all students who no longer need access to the course.
  10. Configure availability, settings, etc. for any content you wish to be available to the remaining students.
  11. Set course availability to "Yes" on the Properties page located under Customization in the instructor Control Panel.  Note: This will only make the course available to the students for whom you did not restrict access using the steps above.)
  12. After all work has been completed by the students needing access, please make your course unavailable once again by choosing "No" on the Properties page located under Customization in the instructor Control Panel.
